<b>Job Description:</b><br />
	<br />
The Department of Mathematics is one of the largest teaching units in the College of Letters and Science with an enrollment of about 11,000 students, teaching 260 classes and 20 seminar offerings each semester.   The Department also offers one of the most successful and extensive Summer Session programs: it enrolls about 1,400 students.  The Department is a large, diverse instructional unit comprising approximately 70 permanent and visiting faculty, 19 career staff, nearly 350 Graduate Student Instructors, Readers, Tutors, and Work Study employees.  The Department has approximately 200 graduate students, 350 undergraduate majors and has an annual operating budget of over &#x0024;11 million.<br />

The Payroll/Events Specialist’s function is to ensure that personnel transactions (including, but not limited to: initial hires, appointment extensions, titles/step changes, merits, promotions, transfers, multiple appointments, terminations, benefits administration, and other employment status changes); and payroll transactions (including, but not limited to: processing of hourly payroll, payroll corrections, leave accruals, fee remissions and other related matters) are properly prepared,  and processed according to campus policy, procedure and deadlines.<br />

Also, in collaboration with the Facilities/Manager, Faculty Event Chairperson&#39;s and Department Manager the incumbent will coordinate the program planning &#x0026; development of special events for the Department.  This will entail responsibility for administering the event budget and analysis of expenses, and reimbursements.  Likewise, the incumbent will oversee the ordering of food and beverage supplies, paper products, catering and managing staffing for all events.<br />

<b>Responsibilities:</b><br />
<br />
PAYROLL/PERSONNEL:<br />
	<br />
-Process monthly payroll for all employees (including hourly, salaried, one-time pay, overtime, etc.) in OPTRS according to the campus schedule - Review and verify all submitted time sheets - Prepare payroll for all student and casual employees - Prepare payroll reduction and overtime payments for career staff as needed - Regularly generate payroll reports.<br />
-Working closely with the HR/Payroll Manager, participate in the development and implementation of payroll process enhancements and is expected to make recommendations for streamlining and improving internal business processes.<br />
-Administer the department’s hiring process through the use of HRMS - Enter all necessary hiring and payroll information; complete new-hire forms, including benefits as needed and submit to campus OHR according to policy and procedure - Advise all staff on benefits options, campus services and other payroll deduction options.<br />
-Process requests for leaves (multiple types) once they’ve been approved.<br />
-Verify and maintain records on leave accruals and usage for all staff. <br />
-Initiate requests for service awards.<br />

SPECIAL DEPARTMENT EVENTS:<br />
<br />
-Responsible for event coordination for Mathematics Department Faculty sponsored receptions, lectures, and daily tea hour. This will entail responsibility for planning, administering each event and analyzing expenses, such as food and beverage supplies, catering, and staffing.<br />
-All food, beverages, supplies and staffing expenses are factored into the budget - Consult with manager, professors, and staff to finalize vendor expenses for each event - Prepare billing for reimbursement of event expenses per event - Ensure budget targets are met.<br />
-Interview, hire, train, and supervise work-study students to prepare and serve refreshments for the Department’s Tea Hour every afternoon (Monday through Friday) when school is in session - Review weekly inventory and order supplies as needed.<br />
<br />
GENERAL ADMINISTRATION:<br />
<br />
-Remain current on campus, college, and departmental payroll/personnel policies and procedures through a variety of campus “list serves” and on-line sites.<br />
-Act as back up staff to cover during the absence of the Building/Facilities.<br />
-Coordinator for lock outs, photo ID card activations, equipment repairs and supply orders.<br />

<b>Requirements &#x0026; Qualifications:</b><br />

Required:<br />
<br />
-Bachelor’s degree and three or more years of experience in payroll, personnel, and events  management or equivalent combination of education and experience.<br />
-Experience in payroll and personnel processing, and ability to perform basic financial analysis and payroll accounting.<br />
-Outstanding organizational, analytical, planning,  and project management skills.<br />
-Good math aptitude, attention to detail, and the ability to work with a high degree of accuracy.<br />
-Competencies to identify, research, resolve problems, follow through on assignments without directions, work independently, and as part of a team.<br />
-Demonstrated customer service orientation and excellent interpersonal skills to develop and maintain effective relationships with a diverse faculty, staff and student population and campus resource organizations.<br />
-Ability to maintain confidentiality, and some degree of political acumen.<br />
-Ability to communicate effectively in writing or orally.<br />
-Ability to work in a safe and responsible manner while not putting self or others at risk -This will include complying with applicable policies and regulations; using personal safety gear, observing warning signs, learning about potential hazards and reporting unsafe conditions.<br />
-Ability to provide health and safety training, guidance on safe work practices, and to investigate accidents.<br />

Preferred:<br />
- Experience using PPS/OPTRS, HRMS, and HR BAIRS.<br />
- Strong computer skills in Excel, Word, In-Design, Illustrator, and Photoshop.<br />
- Demonstrated knowledge of payroll and personnel policies and procedures in an academic setting.<br />
- Event Coordination and Planning experience.<br />

<b>Responsibilities:</b><br />

TRAVEL SERVICES:<br />
- Processes all travel-related and entertainment reimbursements for the Center<br />
- Maintain a current operating knowledge of University Travel and Entertainment Policies and Procedures and contracts and grants policies and procedures related to travel reimbursements<br />
- Maintain a high level of proficiency with the Berkeley Financial System and the Travel/Entertainment Reimbursement System.<br />
- Serve as the primary point of contact for all travelers seeking reimbursement from Center funds<br />
- Design, implement, and maintain a system for managing center travel procedures and processing to meet University, State, Federal, and private agency audit requirements<br />
- Advise faculty, visitors, and students of current travel regulations pertaining to allowable expenses, visa requirements, etc.<br />
- Prepare travel vouchers, CTS forms, and check requests<br />
- Maintain orderly Center travel and entertainment expense files<br />
- Work closely with Center staff responsible for fund reconciliation and reporting to ensure that budget targets are met<br />

PAYROLL SERVICES:<br />
- Work with Center Principal Investigators and Analyst, and other research unit and academic staff in the planning and hiring of research employees<br />
- Coordinate and submit in a timely fashion the documents for employment and compensation for research appointments for all permanent and visiting faculty and scholars, graduate and undergraduate student researchers, and technical and clerical appointees<br />
- Process hires in campus Human Resources Management System (HRMS).<br />
- Maintain personnel database for tracking all appointments and related actions<br />
- Develop and maintain personnel files and ensure their confidential safekeeping<br />
- Process of Cost-Sharing Reports and Personnel Activity Reports (PARS) - Produce Payroll expense reports monthly and ensure that expenditures do not exceed budget targets<br />
- Serves as benefits counselor to faculty, visitors, students, and staff employees<br />

CONTRACTS/GRANTS FACULTY FELLOWSHIPS &#x0026; GIFTS PROCESSING:<br />
-Assist as needed in the preparation of contracts/grants and faculty research fellowship proposals and be responsible for all aspects of faculty fellowship administration, reporting, and closeouts<br />
-Work with Sponsored Projects Office, Extramural Funds Accounting, and Miller Institute for Basic Research in establishing and administering funds<br />
- Accurately monitor expenses and report monthly to PIs<br />
- Process all payments and reimbursements to PIs and vendors for expenses incurred on these funds<br />
- Process all gifts for the Center and follow donor’s guidelines<br />

<b>Requirements &#x0026; Qualifications:</b><br />

Required:<br />
- Extensive experience dealing with travel and entertainment policies and procedures in a large institutional/university setting.<br />
-  Proven experience dealing with contracts and grants policies and procedures related to travel reimbursements<br />
- Demonstrated skills in the area of customer service, maintaining trust and confidentiality and exercising good judgment within policy parameters<br />
- Proficiency with Microsoft Office Suite including Word, Excel, calendaring systems and the internet<br />
- Knowledge of UC personnel policies and contract provisions, benefits programs, and payroll policies or similar experience with a large institution <br />
- Highly organized, accurate, and attentive to detail<br />
- Effective verbal and written communication skills and ability to interact in a positive manner with the wider campus community, including students, academic personnel, and general public, in a multi-cultural environment<br />
- Ability to prioritize work and meet conflicting deadlines<br />
